1. Acceptance of Terms

By accessing or using CoachBeacon ("we", "our", or "us"), you agree to these Terms of Service. If you do not agree, please do not use the platform.

These Terms form a binding agreement between you and CoachBeacon.

We may update these Terms from time to time. Continued use of the Services after changes constitutes acceptance of the updated Terms. Material changes will be communicated via email or in-app notification.

2. Description of Services

CoachBeacon provides the following services:

2.1 Client Portal

View personalized workout and nutrition plans created by your coach
Access training schedules, meal macros, and daily logs
Submit daily check-ins (weight, energy, sleep, digestion, mood)
Log workouts with sets, reps, weights, and coach notes
Upload progress photos for coach review
Upload blood reports for AI-assisted biomarker analysis (optional, see Section 2.5)
Generate AI-powered personalised recipes based on your food plan
Opt in or out of automated WhatsApp check-in reminders
View coach feedback, reports, and coaching notes
Download PDF versions of plans
Access the portal as a Progressive Web App (PWA) on Android and iOS home screens

2.2 Coach Management System

Branded client portals with coach logo, color, and custom loading screen
Client onboarding automation via Google Sheets
Real-time client data management through Google Sheets integration
Automated daily WhatsApp check-in reminders via Meta WhatsApp Cloud API (opt-in per client)
Push notification and email reminder system
AI-powered blood report analysis for flagging out-of-range biomarkers
AI recipe generation based on client food plan parameters
Daily coaching reports and client progress dashboards
Multi-client management with role-based access controls
Branded link-in-bio page (My Link) at me.coachbeacon.in/{slug} with themes, click analytics, and embedded lead capture

2.3 Google Sheets Add-on (GAS Library)

Automated client onboarding from assessment form submissions
Update routing from unified intake forms to individual client planners
Email notifications for new clients and orphaned form submissions
WhatsApp automation hooks for reminders and status updates
Template synchronization and trigger management

2.4 Free Public Tools

CoachBeacon offers 47 free fitness calculators at coachbeacon.in/tools. These require no account, no login, and store no personal data. Use of these tools is governed by these Terms of Service. All calculations run in-browser. No data is submitted to our servers. Tools include TDEE, RDA, protein adequacy, strength norms, creatine protocols, iron deficiency risk, RED-S screening, and more.

2.5 AI Features (Google Gemini)

CoachBeacon uses Google Gemini to power blood report PDF parsing and personalised recipe generation. These are opt-in features available to authenticated clients. By using these features, you acknowledge that relevant data (blood report PDF or food plan parameters) will be processed by Google Gemini's API. No Google OAuth data (Sheets, Drive) is used in AI requests. Data submitted to Gemini is not used to train AI models. See our Privacy Policy Section 13 for the full AI disclosure.

3. User Accounts

3.1 Account Creation

Coaches: Must complete onboarding process and maintain account in good standing
Clients: Access is granted by coaches; no separate account creation required
You must provide accurate, current, and complete information
You must be at least 18 years old to use our Services

3.2 Account Security

You are responsible for maintaining the confidentiality of your access credentials
You must notify us immediately of any unauthorized access or security breach
We use Google OAuth for authentication; you are responsible for securing your Google account
Session tokens expire after 90 days of inactivity

3.3 Account Termination

Coaches may discontinue service at any time
Clients may revoke Google access at any time via Google Account settings
We may suspend or terminate accounts that violate these Terms
We may terminate dormant accounts after 12 months of inactivity with prior notice

4. Google Account Authorization

CoachBeacon uses Google OAuth for secure authentication and access to Google services. This section explains what you authorize when connecting your Google account.

4.1 What You Authorize

By clicking "Sign in with Google" or authorizing CoachBeacon, you grant us permission to:

View your email address and basic profile information - to identify you
Read data from your designated coaching Google Sheet - to display your plans
Write data to Google Sheets - to save portal URLs and sync data
For Coaches: Access Google Drive - to copy template files during initial setup
For Coaches & Team Members: Create Google Meet calls - to generate one-click video call links that are shared with your clients over WhatsApp and email

4.2 Your Control Over Access

You can revoke access at any time via Google Account Permissions
Revoking access immediately prevents CoachBeacon from accessing your Google data
You may need to re-authorize if you revoke and wish to use the service again

4.3 Coach Onboarding Process

During coach onboarding, CoachBeacon:

Copies template files to your own Google Drive (files count against your storage quota)
Sets up folder structure and permissions for your coaching system
Writes your unique portal URL to your Personal Coaching System spreadsheet
Template files become YOUR property; you have full ownership and control

5. Google Sheets Add-on Terms

The CoachBeacon Google Sheets Add-on provides automation features directly within your Google Sheets environment.

5.1 Add-on License

The add-on requires an active CoachBeacon account to function
License validation occurs periodically to verify account status
Features are restricted when the account is inactive or suspended
One license covers one Personal Coaching System spreadsheet per coach
You may not share, resell, or redistribute the add-on

5.2 Add-on Functionality

Automatic client onboarding from Assessment form submissions
Update routing from unified Update form to individual client planners
Email notifications for new clients and orphan submissions
Client Tracker with auto-fill from Assessment sheets
Status synchronization with CoachBeacon servers

5.3 Your Responsibilities

Maintain accurate client data in your spreadsheet
Maintain your account in good standing for uninterrupted service
Do not modify protected cells or system sheets without understanding consequences
Ensure you have rights to use client data in compliance with privacy laws
Report any issues or unexpected behavior to CoachBeacon support

5.4 Add-on Limitations

Add-on functions within Google's quota limits (email sending, API calls)
Some features require specific spreadsheet structure and naming
Add-on may not work correctly if spreadsheet structure is modified
We are not responsible for data loss due to improper spreadsheet modifications

6. Pricing & Service Model

6.1 Access Model

CoachBeacon operates on a setup fee plus per-active-client monthly billing model
Access is granted when your account is activated and continues as long as it remains in good standing
Pricing details are shared during onboarding and any changes will be communicated in advance
You are only billed for clients actively managed on the platform

6.2 Refund & Cancellation Policy

7. Acceptable Use

You agree NOT to:

Share your access links, tokens, or credentials with unauthorized persons
Attempt to access other users' data without authorization
Use the service for any illegal, harmful, or unauthorized purpose
Interfere with or disrupt the service, servers, or networks
Attempt to reverse engineer, decompile, or hack the platform
Scrape, crawl, or automatically extract data from the platform
Upload malicious code, viruses, or harmful content
Impersonate another person or entity
Use the service to send spam or unsolicited communications
Violate any applicable laws or regulations

Violation of these terms may result in immediate account suspension or termination.

8. Health Disclaimer

IMPORTANT: CoachBeacon is a tool for viewing and logging fitness information provided by your coach. We do NOT provide medical advice, diagnosis, or treatment.

Always consult a qualified physician before starting any fitness program
The workout and nutrition plans are created by YOUR coach, not by CoachBeacon
You use all fitness information AT YOUR OWN RISK
Stop any exercise immediately if you experience pain, dizziness, or discomfort
CoachBeacon is not responsible for injuries resulting from following any workout plan
Do not rely on this service for medical emergencies
AI-generated recipes are suggestions based on plan parameters. They are not dietary prescriptions. Consult your coach or a registered dietitian before making significant dietary changes.
Blood report AI analysis extracts and flags biomarkers for informational purposes only. It is NOT a medical diagnosis. Always consult a qualified doctor to interpret blood results.
Free tool calculators (coachbeacon.in/tools) provide general fitness estimates. Results are not medical advice.

By using this service, you acknowledge that you are participating in physical activities at your own risk and CoachBeacon bears no liability for any health-related consequences. AI-generated content is informational only and does not constitute medical advice.

9. Intellectual Property

9.1 Our Property

The CoachBeacon platform, including design, features, code, and content is owned by CoachBeacon
"CoachBeacon" name, logo, and branding are our trademarks
You may not copy, modify, or distribute our platform without written permission

9.2 Your Property

Your workout plans, client data, and content remain YOUR property
Coaches retain ownership of the training programs they create
Files copied to your Google Drive during onboarding become your property

9.3 License Grant

By using our Services, you grant us a limited license to process your data solely for providing the Services. We do not claim ownership of your content.

10. Service Availability

We strive for 99.9% uptime but do not guarantee uninterrupted service
We may perform maintenance with or without notice
Service depends on third parties (Google, hosting providers)
We may modify, suspend, or discontinue features with reasonable notice
We are not liable for data loss or service interruptions
We recommend coaches maintain their own backups of critical data

11. Limitation of Liability

To the maximum extent permitted by applicable law:

CoachBeacon is provided "AS IS" and "AS AVAILABLE" without warranties of any kind
We disclaim all warranties, express or implied, including merchantability and fitness for a particular purpose
We are not liable for any indirect, incidental, special, consequential, or punitive damages
We are not liable for any loss of profits, revenue, data, or goodwill
Our total liability shall not exceed the amount you paid us in the preceding 12 months

Some jurisdictions do not allow limitation of liability, so these limitations may not apply to you.

12. Indemnification

You agree to indemnify, defend, and hold harmless CoachBeacon and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, costs, or expenses arising from:

Your use of the Services
Your violation of these Terms
Your violation of any rights of another party
Any content you submit or share through the Services

13. Push Notifications & Email Terms

CoachBeacon uses push notifications and email for coach-client communications. This section explains how notifications work and your rights.

13.1 Consent & Opt-In

Push Notifications: Clients must explicitly grant browser notification permission
Email: Coaches and clients may receive service-related emails
Consent is recorded and can be withdrawn at any time
We do not send marketing or promotional messages

13.2 Notification Types

Check-in Reminders: Daily reminders for clients to log progress (if enabled)
Email Notifications: Account updates and service communications
All notifications are transactional/utility messages, not promotional

13.3 Opt-Out

Clients can disable push notifications from their browser settings at any time
Coaches can configure notification preferences from their portal
Opting out does not affect other portal features

13.4 WhatsApp Messaging

CoachBeacon may send WhatsApp messages to clients via the Meta WhatsApp Cloud API on behalf of coaches. The following terms apply:

Consent: Clients must explicitly opt in to WhatsApp reminders through the client portal before any messages are sent
Message Types: Messages are transactional only: daily check-in reminders, plan updates, and account notifications using approved business message templates. No promotional or marketing messages are sent via WhatsApp
Opt-Out: Reply STOP to any WhatsApp message to immediately opt out. No further messages will be sent to that number
Re-Opt-In: After opting out, clients may re-enable WhatsApp reminders from the client portal or by asking their coach
Coach Control: Coaches control which clients receive WhatsApp reminders and may disable them per client at any time
Service Provider: Messages are delivered via Meta Platforms, Inc. (WhatsApp Business Platform / Cloud API). Standard messaging rates from your carrier may apply

14. Indian Legal Compliance

CoachBeacon operates from India and complies with applicable Indian laws including the Information Technology Act, 2000, the Digital Personal Data Protection Act, 2023 (the DPDP Act), and the Consumer Protection Act, 2019.

14.2 How to File a Complaint

Include your registered email, description of the issue, and any supporting evidence
You will receive an acknowledgment within 24 hours
We will investigate and provide a resolution or update within 15 days

14.3 Consumer Protection

We comply with the Consumer Protection Act, 2019 and E-Commerce Rules, 2020
CoachBeacon pricing is communicated transparently during onboarding with applicable GST
Any pricing changes will be communicated to existing coaches in advance
You have the right to fair terms and clear communication

14.4 Data Protection (DPDP Act, 2023)

Our roles: CoachBeacon is the Data Fiduciary for a coach's own account data. For a coach's client data, the coach is the Data Fiduciary and CoachBeacon acts only as the Data Processor, processing it on the coach's instructions.
Coach responsibility: for every client a coach adds, the coach confirms they have informed the client how their data is used, hold the client's consent, and will handle any request to access, correct, delete, or withdraw.
Children: the personal data of anyone under 18 may be processed only with verifiable parental or guardian consent, which the coach is responsible for obtaining and keeping.
Data Principal rights: access, correction, erasure, and withdrawal of consent are available as described in our Privacy Policy.
Escalation: unresolved concerns may be raised with the Data Protection Board of India.

15. Governing Law & Disputes

These Terms are governed by the laws of India
Any disputes shall be resolved in the courts of Ranchi, Jharkhand, India
You agree to attempt informal resolution before filing any legal claim

16. Miscellaneous

16.1 Entire Agreement

These Terms, along with our Privacy Policy and Refund & Cancellation Policy, constitute the entire agreement between you and CoachBeacon.

16.2 Severability

If any provision is found unenforceable, the remaining provisions continue in effect.

16.3 No Waiver

Failure to enforce any provision does not waive our right to enforce it later.

16.4 Assignment

You may not assign your rights under these Terms. We may assign our rights in connection with a merger, acquisition, or sale of assets.
